Supa turns any standard operating procedure into a mobile checklist your frontline team can complete from their phone — with GPS verification to confirm they’re on-site and live photo proof to confirm work is done. This page covers how to build checklists, configure audits, and view real-time results.

Key capabilities

Supa supports multiple question formats so you can capture exactly the data you need:
  • Yes/No — quick binary answers for pass/fail checks
  • Pass/Fail — compliance-oriented with automatic scoring
  • Photo upload — require a live camera photo as evidence
  • Text — free-form written responses
  • Number — numeric inputs (temperature readings, counts, etc.)
  • Rating scale — 1–5 or 1–10 scales for subjective assessments
  • Dropdown — single-select from a predefined list
Show follow-up questions based on previous answers. For example, if a worker answers Fail on a hygiene check, Supa can automatically surface a corrective action field asking them to describe the issue and attach a photo. Conditional logic keeps checklists focused and reduces noise for compliant steps.
Mark any question as requiring a live camera photo. Workers cannot submit a library image — Supa forces the camera to open, ensuring evidence is captured in the moment. Use this for high-stakes checks like equipment condition or display compliance.
Assign checklists on a daily, weekly, monthly, or fully custom schedule. Supa pushes a notification to the assigned worker when a checklist is due and tracks whether it was completed on time.
Assign each checklist to one or more specific stores or sites. Enable GPS geofencing to require workers to be within a set radius of the location before they can submit. This eliminates remote or fraudulent completions.
Supa auto-calculates a score for every submission based on question weights you define. Scores appear in the Analytics dashboard so you can compare compliance across locations and over time.
Any failed item can automatically create a task assigned to the responsible person, complete with a deadline and photo evidence requirement. Failed items never fall through the cracks.

Creating a template

Open the Templates menu

Log in to the Supa web dashboard and navigate to **Templates **in the left sidebar.

Create a new template

Click **Create template **and give it a descriptive name (e.g., “Daily Opening — Nyna Coffee”).

Add questions

Use the template builder to add question items one by one, you can select from several type of question (text, number, multichoice or single choice..).
Each question also come with its own set of configure and logic, you can explore to find out what work best in your case.

Manage template access

In the Access tab, you can set the permission for this template. Here you can select who can see and do checklist based on this template, who can edit the template itself. You can also determine who can see, edit, evaluate checklist results come from this template.

Config your alert preference

Click on Alert Config. Here you can set various way of alert people about the checklist based on this template.

Publish

Click Publish. Your team can now see the template and make checklist immediately in the Supa mobile app.

Schedule a recurring checklist

Open the schedule menu

Log in to the Supa web dashboard and navigate to Schedules menu** **in the left sidebar.

Create a new schedule

Click **Create schedule **and give it a descriptive name (e.g., “Daily Opening Checklist — Nyna Coffee”).
You must also select what template you will use in this schedule.

Configure scheduling, locations, and GPS

Set how often the checklist runs, which locations it applies to, and whether GPS geofencing is required. Enable photo requirements on individual questions as needed.

Save and run

Click Save. Your team can now see the schedule and make checklist immediately in the Supa mobile app when the next cycle begin.

Audit mode

Use audit mode for unannounced site inspections. Managers open the Supa mobile app, select the location, and run the audit checklist on the spot. All submissions — including GPS coordinates and timestamps — are captured in real time and visible immediately in the dashboard.
Combine audit checklists with corrective action auto-creation so that any failed item during an inspection immediately becomes an assigned task with a resolution deadline.

Viewing results

Every submission appears in real time in the Analytics dashboard. From there you can:
  • Filter by location, date range, or team member
  • View individual scores and drill down to question-level answers
  • See attached photos inline
  • Export submission data to CSV or PDF for compliance records
Checklist submissions include a complete audit trail: the worker’s name, GPS coordinates at the time of submission, device timestamp, and all photo evidence.
